A per-plate price is useful when planning a wedding in Ayodhya, but it does not tell you what the whole celebration will cost. Build the budget around your functions, meal counts, room nights and separately charged services. Then compare complete written proposals for the same plan.
Start with the amount your family is comfortable spending. Decide which costs belong inside that limit: the celebration itself, guest accommodation, travel you are paying for, clothing, gifts or other expenses. A clear boundary prevents two people from using the same word “budget” for different totals.
Count functions and meals, not just invitations
Write one line for each function, with its date, location and expected attendance. Add every hosted meal, including breakfast or lunch between celebrations if you plan to pay for it.
For example, 200 people at the wedding dinner and 100 at a family lunch create 300 meal servings across those two events. That is a planning example, not a venue’s billing rule or a count of 300 different guests. Confirm how each provider charges for children, staff meals, additional guests and any minimum commitment.
For every meal, record the menu, the billable count agreed with the provider and the quoted rate. If the proposal includes a minimum number, ask how the bill changes when attendance is below or above it.
Separate the meal price from the event cost
For each function, use this structure:
- Meal charge: agreed billable count multiplied by the quoted rate, using the provider’s actual terms.
- Separately charged services: venue hire, decoration, equipment, entertainment or other items outside that rate.
- Adjustments: agreed discounts, applicable taxes and any additional charges shown in the proposal.
Ask the provider to show the final payable total. Do not add tax twice if a rate already includes it, or add venue hire again when the package includes the space. Keep an unclear inclusion marked “awaiting confirmation” rather than entering zero.
Park Inn by Radisson Ayodhya’s official wedding page invites proposal requests and notes that some experiences may involve additional charges or depend on availability. A feature on a hotel website therefore needs to be matched to what your own proposal includes.
Give decoration its own brief
List the areas you want decorated for each function: entrance, ceremony area, stage, dining area and any other specific setting. Ask for an itemised proposal tied to that list, with references showing the intended materials and scale.
If you hope to reuse items between functions, ask what can actually be reused and what moving or resetting them costs. Confirm setup and removal times with the venue before accepting the plan. A photograph of an elaborate stage does not define the size, flowers, lighting or labour included in a quote.
Compare what is supplied, who supplies it and the complete charge. A lower total with fewer elements may suit you better, but it should be a deliberate choice.
Calculate accommodation in room nights
Ten rooms held for two nights amount to 20 room nights. Use a night-by-night room list because guests may arrive and leave on different dates. Record the agreed room category, occupancy, meals and any extra-bed or early-arrival charges.
Decide what the hosts pay and what guests pay themselves. If breakfast is included in the room rate, avoid counting it again as a separate hosted meal. Our guest-stay and room-block guide covers the booking terms to confirm.
Put transport and payment dates on the same plan
For transport you are funding, list the actual journeys or agreed vehicle duties. Ask what the quote includes: waiting, parking, tolls, extra distance and a change of pickup time. Add this confirmed total once, rather than leaving transfers outside the budget until arrival day.
Keep a separate payment calendar. Record the total agreed cost, deposit already paid, remaining balance and due dates. A deposit is part of the cost, not another expense to add on top. Leave an unallocated amount your family chooses for unresolved items and changes; there is no universal percentage that replaces knowing your commitments.
Send one brief to every shortlisted venue
Your brief should contain the dates, functions, guest count for each meal, preferred layout, room nights and the services you want included. Ask each venue to return an itemised total, exclusions and payment terms.
Cygnett Collection KK Hotel’s official event enquiry asks for guest numbers and a booking date. Prepare those details before asking for a proposal, and confirm that your wedding layout fits the space. Our Ayodhya venue guide explains the published capacity distinctions.
Compare the proposals against your spending limit only after the missing items are resolved. The useful number is what your family will pay for the agreed celebration, with clear responsibilities and a plan for when payments fall due.
